Terms and Conditions

1. Who we are

These terms apply to every order you place with Apostille Help (“we”, “us”), a private document legalisation service run by Jason Gavrila, a sole trader trading as Apostille Help, of Unit 1, The Gatefold Buildings, 36 Blyth Road, Hayes, London UB3 1AG. We are not part of the UK Government or the Foreign, Commonwealth & Development Office (FCDO).

2. What we do

We help you get UK public documents legalised for use abroad. For an apostille, we check that your document is eligible, submit it to the FCDO Legalisation Office on your behalf, and return the finished document to you by tracked delivery. Where you need notarisation, solicitor certification, embassy legalisation or translation, we will quote for it separately before any work begins.

An apostille confirms the origin of a UK document. It does not confirm that the contents are accurate, and we cannot guarantee that an authority abroad will accept your document. Please check the receiving authority’s requirements before you order.

3. Prices and payment

Our apostille price is £100 per document. This is an all-in price and includes the FCDO fee and tracked return. Other services are quoted separately and the full cost is confirmed with you before payment. Payment is due when you place your order unless we agree otherwise in writing.

4. Turnaround

We aim to complete an apostille within 2 working days of your documents arriving at our office, provided they are complete and eligible. Working days are Monday to Friday, excluding public holidays. This is a target, not a guarantee. The FCDO sets its own processing times and we cannot control delays on its side or in the post.

5. Your responsibilities

  • Give us accurate and complete information, including the destination country.
  • Send original documents of the type that can be legalised. Photocopies are usually not accepted unless certified first.
  • Only send documents that you are entitled to use and that are genuine.
  • Tell us promptly if anything changes.

6. Documents that cannot be legalised

The FCDO may refuse a document, for example because it is not eligible or its signature or seal cannot be verified. If this happens we will tell you the reason and the options available. If the FCDO refuses a document, we will refund the price you paid, less any costs we have already incurred, or help you obtain a document that can be legalised.

7. Delivery and risk

We return documents by tracked delivery to the address you give us. Please send your documents to us by a tracked, signed-for service and keep your proof of postage. Documents sent to us are at your risk until we receive them, and we are responsible for them once they are in our possession until they are delivered back to you.

8. Cancelling your order

If you order online or by phone, you normally have 14 days from placing your order to cancel. If you ask us to start work before the 14 days are over, you must pay for the work done up to the time you tell us you are cancelling. Once we have fully completed the service, you can no longer cancel. To cancel, contact us using the details on our Contact page.

9. Our responsibility to you

We will provide our service with reasonable care and skill. If we fail to do so, we are responsible for loss or damage that was a foreseeable result of our failure. We are not responsible for decisions made by the FCDO, an embassy or any authority abroad, for delays outside our control, or for losses that were not foreseeable, including loss of profit or business. Nothing in these terms limits liability that cannot lawfully be limited, including for death or personal injury caused by negligence, for fraud, or your legal rights as a consumer.

10. Your personal data

We handle your documents and personal details securely and use them only to carry out your order and to meet our legal and accounting obligations. We may ask for proof of identity. See our Privacy Policy for how we collect, use and store your data and for your rights under UK GDPR.

11. Complaints

If you are unhappy with our service, please tell us using the details on our Contact page and we will respond promptly. We will acknowledge your complaint promptly and tell you how we plan to resolve it.

12. Changes and governing law

We may update these terms from time to time. The terms in force when you place your order apply to that order. These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction, although if you live in Scotland or Northern Ireland you may also bring a claim in your local courts.
