Privacy Policy

1. Who we are

Apostille Help is a trading name of Jason Gavrila, a sole trader, of Unit 1, The Gatefold Buildings, 36 Blyth Road, Hayes, London UB3 1AG. We are the controller of the personal data described in this policy, which means we decide how and why it is used. You can contact us using the details on our Contact page.

2. What information we collect

  • Contact details: your name, email address and phone number.
  • Order details: the type of document, the country it will be used in, the service you want and your deadline.
  • Your documents: copies you upload or the originals you send us. These can include personal information such as dates of birth, addresses and identity numbers.
  • Anything you tell us in a message or call.
  • Payment records. We do not store full card details.
  • Basic technical data when you use this website, such as your IP address and browser type.

3. How and why we use it

  • To carry out your order and keep you updated. Our legal basis is performing our contract with you, or taking steps you ask for before a contract.
  • To keep accounting and tax records. Our legal basis is a legal obligation.
  • To answer enquiries, prevent fraud and keep this website secure. Our legal basis is our legitimate interests in running the business safely.
  • To use optional cookies, if you agree. Our legal basis is your consent, which you can withdraw at any time.

We do not sell your data and we do not use it for marketing unless you ask us to.

4. Who we share it with

We share your information only where needed to complete your order or run the service:

  • The FCDO Legalisation Office, and embassies or consulates where your document needs further legalisation.
  • Notaries, solicitors or translators, where your order needs one of those services.
  • Postal and courier companies, to deliver documents to and from you.
  • Our website host, email provider and payment provider, who process data on our behalf.

Some of these providers may store data outside the UK. Where they do, we rely on appropriate safeguards required by UK data protection law. Files you upload through our enquiry form are delivered to us by email.

5. How long we keep it

  • Copies of your documents and identity evidence: deleted or securely destroyed within 90 days after your order is completed, unless the law requires us to keep them longer.
  • Order and payment records: 6 years, for tax and accounting purposes.
  • Enquiries that do not become orders: up to 12 months.

6. How we protect it

We keep your documents and details secure, limit who can access them, and store paper documents securely. No method of sending data over the internet is completely secure, so for particularly sensitive documents you may prefer to post them to us by a tracked, signed-for service.

7. Your rights

Under UK data protection law you have the right to access your data, correct it, have it erased, restrict or object to how we use it, and receive a copy in a portable format. Where we rely on your consent, you can withdraw it at any time. To use any of these rights, contact us using the details on our Contact page. We will normally respond within one month.

If you are unhappy with how we handle your data, please tell us first. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

8. Cookies

This website uses essential cookies that are needed for forms and security to work. With your consent we may also use analytics cookies to understand how the site is used. You can change your choices at any time using the controls on this site or in your browser settings.

9. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page.
